Clinic No-Show and Overbooking Calculator
Measure no-shows, see the cost, plan overbooking.
Counts only, no patient information. Enter totals from your scheduling report, grouped by day, session, appointment type or clinic. Never enter patient names, dates of birth, record numbers or any other patient details. Your data stays in this browser.
Your appointment counts
Add one row per group you want to compare (for example each weekday, or New patient and Follow-up), or a single row for the whole period. Use the same period for every row.
No rows yet. Add your first count above, or load the fictional example to see how it works.

Results
Fewer than 100 scheduled appointments in total: the 95% interval is wide, so treat the rate as a rough estimate and add more weeks of data.
Rate by row
Bars show each row's rate; the lines show its 95% interval (Wilson). Pale bars have fewer than 30 scheduled appointments. The dashed line is the overall rate. Rows whose intervals overlap may not really differ.
One session
A session is one provider's block, for example a morning with 20 appointment slots. The planner assumes each booked patient arrives independently with the same chance.

Empty slots versus overflow

| Extra bookings | Booked | Expected arrivals | Expected empty slots | Expected beyond capacity | Chance of any overflow | Slot use | Net vs none, per session |
|---|
Net value = revenue per visit × expected arrivals − your overflow cost × expected patients beyond capacity, compared with booking exactly the number of slots. It is an average over many sessions; any single session can go either way.
This planner is a scheduling estimate built on one assumption: every booked patient has the same chance of not arriving, independently of the others. Real no-shows cluster by day, weather, appointment type and lead time, so measure your rate separately for the sessions you plan, start with fewer extra bookings than suggested, and review the results after a few weeks. It does not predict which patient will miss an appointment and must not be used to deny or ration care.
Export and report
CSV files open in Excel, Numbers and Google Sheets. Copy summary puts a short plain-text summary on your clipboard for a slide or email. Print gives a short report: the summary, the key results and two charts. The full option table is in the CSV.
